This role involves carrying out receptionist responsibilities such as welcoming guests, managing filing tasks, and ensuring office supplies are well-stocked. As the face of the office, the receptionist will be responsible for maintaining the office's appearance and coordinating meetings and guest arrangements. RESPONSIBILITIES:
  • Greet and welcome visitors, clients, and guests to the office in a warm and friendly manner.
  • Answer and direct phone calls, taking messages and forwarding calls when necessary.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Maintain a clean and organized reception area, ensuring a positive first impression for all visitors.
  • Manage and maintain office supplies inventory, restocking items as needed.
  • Perform basic administrative tasks, such as data entry, filing, photocopying, and scanning documents.
  • Schedule and coordinate appointments, meetings, and events for the office staff.
  • Assist in organizing and setting up meeting rooms and necessary equipment for presentations.
  • Act as a liaison between different departments and team members, facilitating effective communication.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Provide excellent customer service to clients and guests, addressing their inquiries and concerns.
  • Assist in coordinating travel arrangements and accommodations for company personnel when required.
  • Help with the preparation of reports, presentations, and other materials as needed.
  • Coordinate office maintenance and repairs, ensuring a safe and functional working environment.
  • Manage and update office databases and contact lists.
  • Take and distribute meeting minutes and follow up on action items as directed.
  • Support the HR department with onboarding tasks, such as collecting new hire paperwork.
  • Maintain office equipment and liaise with IT support for any technical issues.
  • Handle emergency situations or medical incidents by contacting the appropriate personnel.
  • Assist in special projects and tasks as assigned by managemen

Job Requirements

REQUIREMENTS:

  • Basic skill level in Word, Excel, PowerPoint and Outlook
  • Internet-savvy
  • Organized, detail-oriented, and able to multi-task
  • Able to prioritize in a fast-paced office environment
  • Professional verbal and written communication skills
  • Excellent written and verbal communication skills; Spanish a plus
  • High attention to detail and accuracy
  • Ability to ensure that tasks are completed accurately and efficiently
  • Organizational and planning skills
  • Conflict management skills
  • Problem analysis and problem-solving skills
