Job Description

As a Front Desk Receptionist/Administrative Assistant in our client real estate company, you will be the first point of contact for clients, visitors, and staff. Your primary responsibilities will include managing the reception area, providing exceptional customer service, and assisting with various administrative tasks to ensure the efficient operation of the office.

Key Responsibilities:
  1. Greeting and Welcoming Visitors:
    • Warmly greet and assist clients, visitors, and staff as they arrive at the office.
    • Direct visitors to the appropriate personnel or meeting rooms.
  2. Phone and Email Management:
    • Answer and direct incoming calls to the appropriate departments or individuals.
    • Respond to general inquiries and provide information as needed.
    • Manage and distribute incoming and outgoing mail and packages.
  3. Appointment Scheduling:
    • Schedule and confirm appointments for real estate agents and other team members.
    • Maintain an organized calendar for shared meeting spaces.
  4. Customer Service:
    • Provide excellent customer service to clients, addressing their questions and concerns courteously and professionally.
    • Assist clients with completing paperwork and forms.
  5. Administrative Support:
    • Assist with data entry, document preparation, and filing.
    • Maintain office supplies and order new supplies when necessary.
    • Assist with office organization and tidiness.
  6. Property Listing Support:
    • Assist with creating and updating property listings on the company's website and other platforms.
    • Collaborate with real estate agents to ensure accurate property information is available to clients.
  7. Security and Access Control:
    • Monitor and control access to the office, ensuring security protocols are followed.
    • Maintain a visitor log for security purposes.

Job Requirements

  • High school diploma or equivalent; college degree or coursework related to real estate or business administration is a plus.
  • Previous experience in a receptionist or administrative role is preferred.
  • Proficiency in using office equipment, such as phone systems, copiers, and fax machines.
  • Strong communication and interpersonal skills.
  • Excellent organizational and multitasking abilities.
  • Attention to detail and a professional demeanor.
  • Familiarity with real estate terminology and processes is a plus but not required.
