- Greeting and Welcoming Visitors:
- Warmly greet and assist clients, visitors, and staff as they arrive at the office.
- Direct visitors to the appropriate personnel or meeting rooms.
- Phone and Email Management:
- Answer and direct incoming calls to the appropriate departments or individuals.
- Respond to general inquiries and provide information as needed.
- Manage and distribute incoming and outgoing mail and packages.
- Appointment Scheduling:
- Schedule and confirm appointments for real estate agents and other team members.
- Maintain an organized calendar for shared meeting spaces.
- Customer Service:
- Provide excellent customer service to clients, addressing their questions and concerns courteously and professionally.
- Assist clients with completing paperwork and forms.
- Administrative Support:
- Assist with data entry, document preparation, and filing.
- Maintain office supplies and order new supplies when necessary.
- Assist with office organization and tidiness.
- Property Listing Support:
- Assist with creating and updating property listings on the company's website and other platforms.
- Collaborate with real estate agents to ensure accurate property information is available to clients.
- Security and Access Control:
- Monitor and control access to the office, ensuring security protocols are followed.
- Maintain a visitor log for security purposes.
- High school diploma or equivalent; college degree or coursework related to real estate or business administration is a plus.
- Previous experience in a receptionist or administrative role is preferred.
- Proficiency in using office equipment, such as phone systems, copiers, and fax machines.
- Strong communication and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Attention to detail and a professional demeanor.
- Familiarity with real estate terminology and processes is a plus but not required.
